Serves as the principal clerical and administrative support position for a construction resident office. Responsible for the accomplishment of a variety of substantive administrative support duties designed to relieve the supervisor and others of many routine, miscellaneous matters.
From information and data furnished by the office engineer, inspectors, and Resident Engineer, completes database reports, consolidates data supplied into a single form-type report, and, in some instances, by referring to office records to extract previously reported data. Prepares monthly progress reports, foundation reports, plant-use reports, labor relations, and payment estimates in proper form, and for the timely submission of reports in accordance with established due dates. Checks extensions for arithmetical accuracy.
Logs, distributes and tracks shop drawings submittals. Monitors suspense’s to ensure no excessive delays are encountered. After drawings have been reviewed by all concerned and based on comments provided, prepares correspondence to the contractor approving/disapproving along with reasons thereof. Ensures Resident Engineer and Quality Assurance Representatives have current copies of shop drawings. Marks additional drawings and provides them to the contractor.
Performs a variety of general office clerical and administrative tasks in support of the office:
Serves as timekeeper for Government personnel at the project site using a financial management system (for example CEFMS). Completes biweekly time and attendance report for signature of supervisor or alternate, ensuring labor charges are appropriately assessed to actual projects with funds available.
Arranges for staff travel, including scheduling transportation, making hotel reservations, preparing travel requests, vouchers, etc. Makes Special arrangements for office visitors, providing them with all necessary information in regard to lodging, restaurants, and activities,
Maintains personnel data on employees ensuring required actions are timely prepared. Coordinates, prepares, tracks, and processes personnel-related actions for civilian employees to include annual performance appraisals, work/leave schedules, incentive awards, training, and travel and transportation.
