The Corporate Giving department is looking for a candidate who will provide exceptional administrative support for the Consumers Energy Foundation. The ideal candidate will have a positive attitude, excellent organizational skills, exceptional follow-up and follow through ability, a passion for customer service and the ability to manage multiple deadlines and competing priorities with a high attention to detail and accuracy.
The Admin Assistant will report to the Director of Corporate Giving and will fulfill the administrative needs of the Consumers Energy Foundation.
Responsibilities:
•Manage the Foundation's volunteer grant and Matching Gifts programs utilizing specialized Grants Management software as well as SAP
•Process grant payments in accordance with strict legal and tax requirements
•Communicate with grant seekers via phone and email in a professional and timely manner
•Utilize software to implement and manage receipt process for all grants awarded
•Run accounting reports on a monthly basis
•Responsible for record keeping of Foundation grant requests
•Compile and organize complex data
•Follow up and address outstanding checks
•Responsible for sensitive and confidential information
•Handle employee and retiree inquiries
•Plan, schedule and/or coordinate internal and external meetings
•Prepare foundation board meeting materials
•Investigate and research information on nonprofit organizations as needed
•Manage databases
•Reconcile budgets
•Perform other administrative-related support for Foundation activities
Requirements:
•High school diploma or equivalent
•3+ years of related experience

Overview
The Administrative Support Job Family is utilized throughout the Company. Typically, employees in this job family are required to operate personal computers, utilize various computer software programs, and demonstrate basic or proficient typing. Employees, depending on the assigned department, may also be required to have completed some college level coursework or to possess local, state or federal licenses and/or certification in order to carry out the assigned job duties.
Nature of Work
The essence of the work that is performed by the Administrative Support Job Family is office support and clerical in nature regardless of the level of difficulty. At the lower level, the work performed will tend to be of a routine nature involving standard clerical, secretarial, office or data entry tasks. As such, the responsibilities can be proficiently performed after a relatively short training period. At this level, the employee(s) could easily move to different functional areas of the Company and successfully perform their routine clerical, secretarial, office or data entry tasks with minimal training. At the higher levels in this job family, the work performed will be of a complex nature involving various functional/specialized disciplines (ie, accounting, land and right of way, finance, human resources, materials management, customer billing, etc) wherein the work responsibilities can only be proficiently performed after a relatively long training/ experience-related time period that may also require successful completion of various college level courses in the functional area and/or specialty. At this level(s), the employee(s) could not easily move to different functional areas of the Company as their specialized knowledge/skills/experience etc, would not normally be applicable.
