OPERATIONS SUPPORT ASSOCIATE (FULL-TIME | GRAND RAPIDS, MICHIGAN)
The Operations Support Associate will serve as part of the Operations team and support the Professional Services Organization (PSO). Specific project support responsibilities include components of assisting in coordinating the Professional Service Tool including engagement setup, expense review, reporting and integrations with accounting system.
KEY RESPONSIBILITIES
* Email inbox administration for the Services Operations Team
* Timesheet Management (Opening, Transferring Time and Closing)
* Provide review of submitted expense reports for proper receipts, and adherence to policy
* Setting up engagements and resources in PSA tool for leverage tool for invoicing, reporting and expenses as needed
* Statement of Work generation
* Creating invoices for services weekly
* Sending invoices for expenses and services
* Assist with ad hoc requests related to the PSA Tool
* Filing of support documentation
* Backup for phone system
* Assist with mid-month, monthly and annual close procedures
* Create ad hoc reports as needed by business
* Assist with accounting activities with our financial monthly close process as needed
* Assist with internal and external audit requests as needed
* Assist in the development and recommendation of process and system improvements
REQUIRED SKILLS AND EXPERIENCE
* Associates degree preferred, but not required
* Experience with PSA software preferred, but not required
* Excel proficiency preferred, including vlookups and pivot tables
* Exceptional organization, communication and multi-tasking skills are required
* Desire to deliver superior customer service
* Excellent interpersonal skills and high level of attention to detail is critical
* Familiarity with a sales process or working within an IT organization a plus
* Self-motivated / self-starter comfortable working independently and as part of a team, in a dynamic environment of change, challenge, and multiple deadlines and priorities
