SUMMARY:
Management Business Solutions is actively seeking a Front Desk Coordinator for a company based in Grand Rapids, MI. This is a temporary position with potential to become permanent. This person will be responsible for providing support to office team members, and help maintain a positive office experience for internal and external clients. The ideal candidate is someone who can facilitate the daily activities to ensure a productive, efficient, and engaged office environment.
RESPONSIBILITIES:
- Answers multiline phones and emails promptly and professionally.
- Transfers calls to correct team members at the earliest convenience.
- Greets customers in a professional manner.
- Knowledge of the company to provide answers to questions from customers.
- Daily tracking of outgoing mail.
- Excellent verbal and written communication skills.
- Schedules and arranges meetings on a daily basis.
- Performs basic recordkeeping and filing duties.
- Updates daily spreadsheets and charts.
- Creates agendas for management and team meetings.
- Ensures office equipment is well maintained and stocked for continuous use such as copiers, printers, and supply orders.
- Provides data entry and reporting via software programs.
- Ability to train individuals on front desk duties and update training manual.
- Performs cleaning duties.
QUALIFICATIONS:
- Associates Degree or comparable experience required.
- At least 1 years of secretarial/office experience required.
- Proficient in Microsoft office required.
- Ability to handle confidential information in a database setting preferred.
- Strong typing, writing, spelling and proofreading skills.
- Ability to multitask in a fast-paced environment.
