Department Summary
The Energy Resources Financial Services Central department provides accounting support to Gas Compression and Storage, Environmental, Energy Supply, Enterprise Project Management and Engineering departments in Jackson, MI. Department responsibilities include long term financial planning, budgeting, forecasting, reporting, analysis, project support, accounting & process controls, accounts payable and general administrative support.
Job Description/Responsibilities
The Administrative Assistant will perform routine to complex office/accounting functions in accordance with standard procedures in areas that include: accounts payable, general administrative support, general accounting support and other related financial areas. Job description/responsibilities include:
•Complete ownership and use of skills in handling all duties and processes within the accounts payable function (Invoice audit, contract rate reviews, invoice payment, related research and follow up)
•Utilize general ledger coding proficiency and meaningful communication with key persons within the specialty areas to complete core job duties
•Select relevant information from a variety of sources such as reports, documents, correspondence, other areas of the Company
•Capably analyze issues independently, utilizing advanced Excel techniques to analyze and report on consistent basis to management
•Under general direction, prepares special reports, summaries or replies to inquiries
•Maintain records/logs/spreadsheets
•Demonstrate complete accountability for assigned workload, understanding deadlines
•Ensures that assigned tasks and information requests are completed in a timely manner
•Ability to assess prioritize among multiple demands
•Periodically evaluates process and program effectiveness and takes action to maintain continuous improvement
•Open, sort and distribute mail
•Consistently cordial and professional when communicating with all points of contact
•Participates as an active administration team member by contributing to program development and organization planning

Requirements
•High School Diploma or GED
•2+ years of Administrative experience

Essential Functions
Performs administrative support functions and more complex tasks including establishing relative priorities of current and anticipated workload and organizing and conducting assignments according to deadlines. Sets up office systems including file maintenance, correspondence deadlines, and project management for own work. Provides backup phone and customer support. Prepares and composes letters, reports, and correspondence and performs other clerical administrative support duties as directed from time to time. Maintains confidentiality. Performs or establishes procedures for all clerical functions and actions including phones, filing, and general word processing, tracking of information, maintaining logs/spreadsheets, and other similar administrative support. Under general direction, prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other areas of the Company, etc. Ensures that requests for action or information are relayed to appropriate staff members; ensures that information is furnished in a timely manner; decides whether a higher authority should be notified of important or emergency matters.
