Position Title: Events Coordinator
Reports to: Director of Events
Supervises: None
FLSA Status: Exempt
Overview:
This role is a key part of the Events Department at Experience Grand Rapids. The Events Team has a role in over 100 events for Experience Grand Rapids annually, making this position require someone who is able to work in a fast-paced environment, manage simultaneous projects, and communicate clearly to a team. The Events Department works closely with the Sales Department, as a vast majority of the events planned are supporting sales efforts. This role focuses heavily on creating sales opportunities with state based convention planners, as well as group tour and third party planners.
Candidates for this role are comfortable in a team environment and possess strong communication skills, event planning/project management skills, and creative solutions and ideas for events.
Contributes to the mission of Experience Grand Rapids: to lead the marketing of Grand Rapids/Kent County as a premier convention and visitor destination providing a significant positive impact to the West Michigan economy.
Essential Duties and Responsibilities:
- Manage State Market, Third Party, and Group Tour events as needed, including client events, FAMs, sponsorships, and other types of events.
- Manages Impacting Hospitality Awards event, Beer City Cup Golf Tournament, and other major events as they are developed and assigned.
- Provides creative input to staff for gifting, hospitality and promotions.
- Manages vendor relationships for Events Team.
- Builds and designs invitations and promotional pieces for events as needed and/or works with graphic design team to do the same.
- Performs other job-specific tasks as assigned by supervisor or Leadership team

Qualifications:
- 4 year college degree – preferred in hospitality, marketing or business
- Additional certifications (CMP) preferred
- 5 years of experience in project management and/or events
- 5 years of experience in hospitality, customer service or marketing
- Able to schedule and prioritize own work to complete assigned tasks
- Proficient in all aspects of Microsoft Office/Office 365
- Knowledge and experience with Adobe Suite products a plus, including InDesign, Illustrator, and Photoshop.
- Strong written and verbal communication skills
- Ability to learn position specific software, including database management
- Basic understanding and application of project management methodology
- Able to take full ownership of projects and follow through to completion
- Bring a strong work ethic to the team and willing to be a team player
- Willingness to learn new information and share that knowledge to benefit the team
- Well organized with excellent time management skills
- Effective analytical and problem solving skills
- Strong knowledge of Kent County tourism information
- Able to plan, prioritize and conduct work under minimal supervision
- Strong internet research skills
- Detailed knowledge of social marketing including components of Facebook and Twitter
