The Facilities Coordinator will be responsible for maintaining and administering specialized systems for the Real Estate and Facilities Department and/or the Department of Transportation, such as OSCAR software, Equipment Management (MAXIMO), MSDS, work orders and regulated documents, management of contracts and purchasing as well as providing administrative support to Management staff.
Responsibilities
1. Responsible for maintaining facility related contracts and renewals of contracts. May also be responsible for maintaining fleet and transportation related contracts.
2. Oversees and maintains facility maintenance work-order system.
3. Provides maintenance dispatch for emergency requests (housekeeping, staff requests or vendors) ensuring that work orders are processed and work completed in a timely and efficient manner.
4. Coordinates and maintains Preventive Maintenance Schedules.
5. May manage Vehicle Maintenance Reports for regions within the division. May manage invoicing, track rentals and gas cards for the Dept. of Transportation as well as MVR (background checks for Red Cross vehicle drivers).
6. May monitor OSCAR transportation software, keeping files up-to-date and tracking monthly logs.
7. May maintain transponders for all Red Cross Fleet vehicles.
8. May provide administrative back-up to Real Estate Management staff, Administrative Assistant, and Dept. of Transportation.
9. Communicates with vendors, placing orders and follow-up.
10. Researches and compiles data and prepares analysis or reports as required.
Qualifications:
Requires Associate degree or equivalent combination of education and experience and 3 years experience with office and or business systems. Requires aptitude to work with figures and excellent verbal and written communication skills, and the ability to interface with a variety of audiences, both internally and externally. Requires experience with personal computers, working knowledge of MS Excel, Access, and Word. Prior experience with equipment management Software preferable.
