The Executive Assistant - perform advanced secretarial and administrative duties for one or more executives. Perform duties of a highly confidential nature that require comprehensive knowledge of organizational policies, practices and procedures. Requires continuous use of technical and business vocabulary. Relieves supervisor(s) of some administrative detail. Coordinate meetings and act as proxy for supervisor. Utilize the assistance of lower level administrative assistants on a project basis. Will travel regionally.
Responsibilities
1. Complete administrative tasks using initiative and judgement.
2. May act as liaison to regional Volunteer Board.
3. Anticipate and prepare materials needed by the supervisor for conferences.
4. Transcribe notes, tapes and handwritten drafts into a variety of documents including correspondence, agendas, releases, minutes, speeches, testimony, position papers, reports, charts and tables. Independently compose and prepare correspondence and memoranda.
5. Screen incoming calls. Answer inquiries on routine matters and refer others to supervisor, appropriate staff member or another office.
6. Arrange and schedule appointments, meetings and conference calls and informs supervisor of matters to consider. Schedule appointments and meetings without prior clearance.
7. Respond to routine and non-routine inquiries using standard formats and refer only unusual or complex inquiries to supervisor.
8. Arrange travel and coordinate general or logistical support for meetings.
Qualifications: Qualifications
High school diploma or the equivalent required. Associate's degree in business, related field, or the equivalent knowledge is preferred. Minimum requirement of six years of related experience is required. Knowledge of organizational policies and procedures that related to operations within assigned organizational unit is preferred. Excellent math, verbal, and written communication skills. Ability to prepare and edit complex documents is preferred. High level of computer skill proficiency, including but not limited to document and spreadsheet applications is required.
