Provide administrative support to the assigned department. Prepare documents related with customers, make phone calls, make travel arrangements, and maintain confidential files.
Essential Job Functions
-Material reception from suppliers, control goods received, and process suppliers’ invoices.
-Provide customers quotes, and information, via email or phone.
-Prepare material to be shipped to external clients as well as any related shipment documents, such as packing list and/or invoices or any other form required, in an convenient and efficient manner.
-Understand the operation of the department and perform all administrative duties related to department activities. Maintain confidential and personnel records for the department. Create and maintain active files.
-Schedule, plan, and coordinate meetings.
-Schedule travel, as necessary, to obtain the best possible itinerary. Prepare expense reports accordingly.
-Coordinate responses to all routine written or telephone communications. Handle routine correspondence and redistribute as necessary.
-Support department with various requests and projects.
